Configuring Email Notification Distribution Groups
Profile administrators can create distribution groups to send profile schedule update notification email messages to several employees at once whenever anyone makes changes to selected tasks. Staff Manager Client can send schedule email notifications automatically or on demand.
Adding a Distribution Group
- From the Configure menu, select Email Notification Settings > Email Notification Distribution Groups. The Email Notification Distribution Groups page opens.
- Click Add.
- In the editing pane, enter a name for the group. Distribution group names must be unique.
- In the Add Email Addresses tab, select a profile from the menu. This populates the Available Email Addresses pane with the addresses of employees in the selected profile.
- In the Available Email Addresses pane, select the check box beside each employee who should be in the group, or select All to select all employee addresses. Where an employee has multiple email addresses on file, you can select one address by selecting the box beside that address or you can select all of the employee's addresses by selecting the box beside the employee's name.
- When you have selected all the employee addresses you want, click Add. The selected addresses move to the Selected Email Addresses pane.
- Click the Assign Tasks tab.
- Select a profile from the menu. This populates the Available Shifts pane with the tasks in the selected profile.
- In the Available Shifts pane, select the check box beside each desired task, or select All to select all shifts.
- When you have selected all the tasks you want, click Add. This moves the selected addresses to the Selected Shifts pane.
- Click Save.
Adding an Employee or Task to a Distribution Group
- From the Configure menu, select Email Notification Settings > Email Notification Distribution Groups. The Email Notification Distribution Groups page opens.
- In the Distribution Groups pane, select the group you want to edit.
- If adding an employee, select the box beside the employee's name in the Available Email Addresses pane.
- If adding a task, first click the Assign Tasks tab, then select the box beside the task name in the Available Shifts pane.
- Click Add.
- Click Save.
Copying a Distribution Group
- From the Configure menu, select Email Notification Settings > Email Notification Distribution Groups. The Email Notification Distribution Groups page opens.
- In the Distribution Groups pane, select the group you want to copy.
- Click the Copy link.
- Enter a unique name for the new group in the Name box.
- Make any other changes, then click Save.
Deleting a Distribution Group
- From the Configure menu, select Email Notification Settings > Email Notification Distribution Groups. The Email Notification Distribution Groups page opens.
- In the Distribution Groups pane, select the group you want to delete.
- Click the Delete link.
Deleting an Employee or Task from a Distribution Group
- From the Configure menu, select Email Notification Settings > Email Notification Distribution Groups. The Email Notification Distribution Groups page opens.
- In the Distribution Groups pane, select the group you want to edit.
- If deleting an employee, select the box beside the employee's name in the Selected Email Addresses pane.
- If deleting a task, first click the Assign Tasks tab, then select the box beside the task name in the Selected Shifts pane.
- Click Remove.
- Click Save.
You can click Reset to undo any edits made since you last saved the configuration.
Once someone creates an email notification distribution group, the application automatically sends schedule notification emails according to the facility settings. In addition, the application automatically updates, adds, and deletes the email addresses in distribution groups as users change those addresses in Staff Manager Client.
