Understanding Patient Assign Alert Messages
Patient Assign alerts warn you of possible assignment issues. This helps you ensure all patient, relief, devices, and duty assignments are complete and accurate. Alerts also help you assign the proper amount of care to patients throughout a shift partition. You can configure whether select Patient Assign and Relief Assign alerts display using the Display Alerts option on the Patient Assign Settings page.

You can set how caregiver and patient names are displayed in Patient Assign alert messages. You can also set which patient identifiers are displayed and how, such as whether they appear on the page, when you hover over a patient's name, or both. Caregiver Alerts
Caregiver alerts warn you when there are changes to a caregiver’s schedule, changes to a caregiver's assigned care hours, or if there are problems with the caregiver's assignments.
- You receive an alert if someone changes a caregiver’s schedule in Staff Manager Client by:
- Adding the caregiver to a profile
- Removing the caregiver from a profile
- Changing the caregiver’s scheduled time.
- If the care hours assigned to a caregiver have changed since the last saved assignment, you receive an alert. Changes to care hours may be the result of a patient departure or a change in the patient's Acuity level.
- When you add a caregiver to your profile with Find Caregiver, you must also add the caregiver to the schedule in Staff Manager Client. If you do not, Assignment Manager alerts you that the caregiver is not scheduled to work in the current profile. It also advises you to update the employee's schedule in the Staff Manager Client to ensure correct reporting. You will receive this alert until you update the employee’s schedule.
- If you change the caregiver’s start or end times on the Assign Patients window to a time outside the shift partition’s start and end times, you receive an alert. For example, if the shift partition is 7:00 a.m. to 3:00 p.m., and you change a caregiver’s start and end times to 3:00 p.m. and 11:00 p.m., Assignment Manager displays an alert message.
- If your configuration uses CareAware iBus to assign devices and you assign a caregiver to a patient as primary and secondary alert for overlapping times, Assignment Manager highlights the assignment times in pink and gives you an alert message when you try to save.
- Depending on how you configure Patient Assign, Assignment Manager can alert you when you try to assign a patient to two caregivers with the same roles for overlapping times by highlighting the assignment times in pink and giving you an alert message when you try to save.
- If your configuration uses CareAware iBus to maintain personnel and patient data, Assignment Manager automatically checks that its patient and caregiver data matches the data on CareAware iBus when opening the Patient Assign page. The Sync Status button displays the synchronization status between the data in Assignment Manager and CareAware iBus. If all data is synchronized, the button is green and disabled: . If there are synchronization issues, the button is yellow and enabled: . You can click the button to review the issues.
You should review all previously saved caregiver assignments in Assignment Manager after making schedule changes in Staff Manager Client to determine whether you need to make adjustments. This includes reviewing:
- Caregivers assigned as charge
- Caregivers assigned to patients
- Caregiver relief periods and caregivers assigned to provide relief coverage
- Caregivers Device and Duties assignments, if applicable
Patient Alerts
Patient alerts tell you when there are changes to the number of patients, the assignment status of patients, or both. Assignment Manager alerts you:
- If you change the caregiver’s assignment times to patients on the Assign Patients view to a time outside the saved relief time and duration for the caregiver. Assignment Manager continues to send this alert until you update the relief time or assignment time.
- If patients arrive on or depart from a profile since the last saved assignment. You will continue to receive this alert until the next time you save the patient assignment.
- If there are patients who have unassigned care hours at the time you click Save.
- If there are patients with gaps in primary or secondary alert caregiver assignments when you click Save.
- If you enter a start and end time for an assignment that falls outside the time of the shift partition or outside the time the patient is in the unit during the shift partition.
